What does the Episcopal Church believe?

Why do some camp staff use pronouns in their email signatures, on their name badges, and during introductions?
At camp, we like to call people what they want to be called (ie: Teri, not Teresa) and pronouns are an extension of identity. Many of our staff use the pronouns most people would assume they use; however, some of our staff do not. The practice of sharing pronouns helps create an inclusive environment by letting others know how we would like to be referred to and invites others to do the same. Using someone’s correct personal pronouns is a way to respect them.
 
Does Camp Arrowhead offer Financial Aid or Scholarships?
Camp has a generous scholarship endowment in place to ensure that price is not a barrier to attending Arrowhead. We’re happy to provide 1/4 tuition scholarships, and additional assistance may be available for families with greater financial need. 

Financial aid is intended to support families for whom the cost of attendance would otherwise be out of reach, and should not be requested for campers attending multiple sessions. Completed scholarship paperwork must be received by May 1. Should the financial aid awarded not be sufficient to enable you to send your child to camp, we will return your registration deposit. Contact our Camp Registrar at 302.645.5348 or [email protected] to learn about eligibility and to apply.


What if circumstances require payments to be made after May 30th?
Occasionally, camper tuition payments require extra time.  A $25 late fee will be charged for any camper's balance not paid in full by May 30. Contact our Registrar. Jill Alexander at 302.645.5348 or [email protected] to make a plan. If we have not heard from you, and your tuition has not been paid in full by June 6, we reserve the right to cancel your registration and offer that spot to a camper on our waiting list.
 
 What is your cancellation and refund policy?
Cancellations must be made in writing to the camp registrar, Jill Alexander.
  • Refunds, minus the $200.00 deposit, will be made to those cancellations received 2 weeks prior to the start of your camping session. No refunds will be made after this time.
  • If cancellation is necessary prior to camp due to illness or injury, upon receipt of a written statement from a physician all pre-paid fees, except the $200.00 deposit will be returned.
  • No refunds will be given in case of illness, homesickness, dismissal or voluntary withdrawal from camp once your camper is in session with us.  
If our Registrar, Jill Alexander has not heard from you to make a payment plan, and your tuition has not been paid in full by June 6, we reserve the right to cancel your registration and offer that spot to a camper on our waiting list.
 
Can we tour camp?
Of course. Sign up for one of our tour days in the spring or call the camp office to set up another tour time. 302.945.0610 x110 We do not run tours during summer camp or our staff training week (early June - mid August).

Will you launder my child’s clothes while at camp?
We don’t offer camper laundry services except for accidents and emergencies. In those instances, clothing and bedding can be laundered.

What type of luggage do I use?
Many campers use standard sized trunks, plastic tubs, duffle bags, or suitcases. Anything that will fit under the bunks (roughly 16") will work. Please be mindful that campers share living spaces. We discourage plastic dressers as they take up a lot of space, are difficult to transport, and frequently fall open or break. And Be sure to label everything, including the luggage.

Is there a recommended Packing List?

What items can’t be brought to camp?
Please do not pack phones, smart watches, pagers, electronics, weapons, cigarettes, vapes, alcohol, drugs or personal pets. (Service animals must be discussed prior to your camper's arrival.) Should your camper bring them, this may result in dismissal from camp. Our staff has been instructed to collect such items and the Director will keep them in the safe until closing day, dispose of them if appropriate, or turn them into law enforcement. We would greatly appreciate your cooperation in keeping these items out of camp.
 
Why can’t my camper bring a cell phone or pager?
Campers are not permitted to have cell phones, smart watches, or pagers at camp as they interfere with camp life, activities, and interaction with others; therefore we want them to leave the technical world at home. Ill intentions, deceit, or defiance may be grounds for dismissal from camp. We would greatly appreciate your cooperation in keeping these items out of camp. Should notification be required regarding your camper our Camp Administrative staff will call you. 

Can my child leave camp?
Leaving camp can disrupt and interfere with your campers’ stay as well as that of other campers who are assigned to their group. We encourage you to schedule other activities around their time at camp so that they may remain at camp for their entire session.  

If your child MUST take a temporary leave -   we have a Temporary Leave Form  for security purposes that must be completed by the parent or guardian prior to the camper leaving camp.  The Registrar or Assistant Director can assist with obtaining a physical form at camp. 

What do I do if my child must arrive or leave camp at a time different than the camp's scheduled times?
For security purposes we have an Early Departure/Late Arrival Form that must be completed by the parent or guardian prior to the camper leaving camp. We strongly ask that you not compromise these rules. The Registrar or Assistant Director can assist with obtaining a physical form at camp.

Can someone else pick up my child from camp?
For security purposes we have a Permission Form that must be completed by the parent or guardian prior to the camper leaving camp. We strongly ask that you not compromise these rules.  The Registrar or Assistant Director can assist with obtaining a physical form at camp.
 

Can my camper make a friend request?
While it is in camp’s design for campers to make new friends we understand that some campers could use the reassurance of a friend from home.
  1. We allow campers to request ONE friend.
    Large intertwined friend groups will be divided between 2 or more units.
  2. Requests should be reciprocal and spelled the same as each other’s registration,
  3. Requests must be within one grade of each other,
  4. And requests must be signed up for the same program
              * A 6th grader in Homestead cannot be placed with a 7th grader in Pioneer.
              * 
And siblings 2 grades apart cannot be put in the same Homestead cabin or Pioneer unit.  

WE ARE NOT ABLE TO GUARANTEE ANY PLACEMENTS. If this is a deal-breaker for your camper, please contact the Registrar as soon as possible to cancel your registration. If you have additional concerns or questions about friendships at camp please contact our Registrar. How long does it take to check-in?
Generally, we allot 2 hours for the entire session roster of campers to check- in. It will not take you the whole time and check-in duration is not always easy to predict. We strive to make check-in day move quickly and efficiently.  However, weather, organization of other camper families, the timing of other arrivals, and the number of campers in the session all contribute to Arrival Day timing. Being familiar with your camper’s luggage and where it is in the vehicle as well as having all your required forms completed will certainly help. We suggest that you do not make check-in revolve around another activity scheduled for that day. This will not only make your day less stressful but will most likely make for a more pleasant start to your child's camping experience.
 
 What happens at check-in?
  • Please be patient and remain in your car as we guide you through the line, unload your camper’s luggage, and direct you to the parking area. 
  • You will be greeted by our staff, given written information explaining the check-in process, what’s expected of you, and your camper’s cabin assignment.
  • Your camper will undergo a car-side Wellness Check.  Our staff will take their temperature, performs a lice check, and ask some simple questions.
  • Once you have parked, you will head towards the Dining Hall. Our staff at the Welcome Tent will assist you with questions and where to go next.
    •  If you have any medications to turn in or need to speak to the nurse, go to the Wellness Tent.
    • Unit Leaders will greet you inside the Dining Hall to take you to meet your camper’s counselor & group
    • The Camp Registrar, Office Manager, and Store Keeper are inside the dining hall to assist you with any other questions, mail deliveries, store cards, or care packages.
  • Say your goodbyes and you are free to go.
 
Can I call my camper or can they call home?
No. Our program does not allow for campers to call home or receive calls. Attending camp is a partnership in teaching independence and responsibility. Not all families are ready for this kind of disconnection, and that’s okay, please wait until you are ready to sign up for our program. Campers and families are encouraged to write each other often. Parents can also use Bunk-1 (a one-way email service) to write their camper daily. You will be given sign up information at check-in for this program.

 
How can I contact my camper concerning an emergency at home?
Please call 302.945.0610. If the phone is not being monitored at the time of your call, leave a message in the voice mail box of the Assistant Director, Rubi, at extension 113. She will help you determine next steps.

How are parents notified in case of an emergency at camp?
If there is an emergency situation regarding your camper specifically, you will be notified by telephone, immediately. If we can’t reach the primary guardian listed, we will call the second, and then the emergency contact list until we reach someone. It is essential that you provide up to date emergency phone numbers in your camper’s registration.

As for severe weather or power outages, we will send mass emails informing you of next steps. It is essential that your provide up-to-date emails for both parents/guardians.


What is Bunk-1 Email and how do I sign up?
Bunk-1 is one-way email you can use to write to your camper. At check-in you will be given instructions on how to set it up. This system cannot be used without the registration passcode and works best when you know your camper’s unit.
 
What address do I use for camper mail?
It will be helpful if you address your camper mail in this manner:

Please be sure to use a return address. Your camper’s unit with be shared with you at check-in.


Can I send a care package to my camper?
Yes. Please note that your camper will have a variety of snacks available for purchase at the camp store. If you do send a package from home please provide individually wrapped food items as not to attract wildlife. Allow sufficient mail time for packages to arrive. Be sure your camper's name is on the package and use the camper mailing address as noted in Mail for your Camper section.

 
What is camp food like?
We strive to serve a balanced, kid-friendly menu. We have a sandwich bar and a salad bar available during the lunch and dinner services. Bagels, toast, cereal, fruit and yogurt are available at breakfast.
 
Every group cooks out at least one meal each week and older campers cookout one meal each day. If your child has dietary restrictions or is a picky eater, it may be helpful to note it in your camper’s personality profile to inform your child’s counselor. It will help them meal plan for the week and put in special requests for dietary accommodations.

Does Camp Arrowhead make provisions for special diets, food sensitivities and allergies?
We serve gluten free, dairy free, nut free, and vegetarian options when we are informed they are needed.  We also provide soy and almond milk options.

                 NOTE: We do serve peanut butter and use peanut products at camp.


What do you sell in the camp store?
The camp store sells limited snacks and beverages, tshirts, sweatshirts, souvenir items, and some items from the suggested packing list that you may have forgotten (like stamps, disposable cameras, or batteries).

What about medical care while my child is at camp?
We have an EMT that lives on camp and nurse that is onsite daily. Beebe Walk-In Rehoboth, Beebe Healthcare Lewes, Atracare Urgent Care, and Bayhealth Emergency and Urgent Care Center (Milton) are all within 11 miles from camp.

Should I expect my child to get tick bites?

Tick bites are a common occurrence in the state of Delaware that unfortunately impacts Camp Arrowhead. This is important because ticks may carry a variety of diseases, one of the more common illnesses is Lyme’s Disease.
We strive to promote tick bite prevention and tick-borne illnesses by continually screening campers for ticks. Camp Arrowhead is not responsible for the prophylactic screening or treatment of Lyme’s Disease.  However, if your child displays any questionable symptoms it is important to notify your primary health care provider that your child may have had a tick bite at camp.

Are staff allowed to accept tips, monetary gifts or any gifts of thanks?
While your thoughtfulness is appreciated - our staff work as a team at camp.  And while Counseling Staff have much more face time with campers they could never do their job without all the other staff doing theirs - cooking meals, repairing facilities, washing dishes, life guarding, picking up bread from the store for lunch...etc. Therefore, our staff may not accept cash or tips. Staff are directed to contribute those kinds of gifts to our Chapel Fund - which helps campers who arrive with less than they need to thrive at camp (ill-fitting shoes, no swimsuit, not enough socks or underwear, no toiletries, etc). 

If you discover that your child had a fabulous time, (and we hope that you will!), we would encourage you to help them write letters to their counselors and other favorite staff or send them a small care package that your child helped you put together.  Mail and words of encouragement are amazing souvenirs of a summer. Many senior staff still have letters their former campers wrote to them.
